Scan My Memories is a trade name (DBA) of MAKS Technology Solutions LLC. MAKS Technology Solutions LLC, doing business as Scan My Memories (“we,” “us,” or “our”), respects your privacy. This Privacy Policy describes how we collect, use, store, and protect personal information and media submitted through scanmymemories.shop.
1. Information We Collect
- Contact & Order Information: Name, email address, phone number, shipping address, and order history.
- Payment Processing Data: Payments are processed by Stripe. We do not collect or store full credit card numbers on our servers.
- Customer Media: Physical photographs submitted for scanning and the digital image files created from them.
- Cookies & Device Data: Information collected through cookies and similar technologies when you visit our website (see Section 8).
2. How We Use Your Information & Media
- To ship your mailing kit, and to receive, scan, and return your physical photographs with your USB flash drive.
- To communicate order status updates, photo count verifications, and download links (where included in your plan).
- To retain temporary digital copies only as long as needed to deliver your files.
- To maintain necessary order records for accounting, audit, tax, and legal compliance purposes.
3. Privacy Commitments
- We do not sell, rent, license, or publicly share your personal photographs, digital files, or personal information.
- We do not use your photographs for marketing, public display, advertising, or artificial intelligence (AI) model training without your prior written consent.
- Your photographs are scanned in-house. We do not send them overseas or to outside contractors.
- We share personal information only with the service providers listed in Section 6, and only as needed to fulfill your order or comply with legal obligations.
4. Data Retention
- Original Physical Photographs: All original physical photographs are returned to you after scanning is complete.
- Digital Image Files: Your files are delivered on a USB flash drive. Cloud download links, where included, are available for 7 days (1,000-photo plan) or 15 days (2,000-photo plan). The 500-photo plan does not include a download link. We permanently delete your digital files from our systems within 30 days after the download period ends, or after we ship your flash drive for the 500-photo plan.
- Order & Customer Records: Essential customer and order information (name, contact details, shipping address, and order history) is retained for as long as reasonably necessary to meet audit, tax, accounting, and legal record-keeping requirements. In most cases this means retention for up to seven (7) years, after which the data is securely deleted or anonymized, unless a longer period is required by law.
5. Your Privacy Rights (Including California Residents)
Depending on where you live, you may have certain rights regarding your personal information. These may include the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate personal information
- Request deletion of your personal information (subject to legal retention requirements)
- Opt out of the “sale” or “sharing” of personal information (as those terms are defined under California law)
We do not sell or share personal information as those terms are defined under the California Consumer Privacy Act (CCPA) / California Privacy Rights Act (CPRA).

6. Third-Party Service Providers
We share personal information only as necessary to provide our services:
- Platform Host: Systeme.io (website and store management)
- Payment Processor: Stripe
- Shipping: USPS or UPS, with labels purchased through third-party shipping services such as Pirate Ship (for delivery of mailing kits and photo packages)
These providers use the information only to perform services on our behalf, under their own privacy and security terms.
7. Data Security & Storage
We use reasonable technical and organizational measures, including access controls, to help protect your contact information and digital photo files against unauthorized access, loss, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Cookie Policy
Our website uses cookies and similar technologies to operate the site, process orders, and understand how visitors use the service.
- Essential cookies: Necessary for the website and checkout process to function (session management, security). These cannot be disabled.
- Functional / Analytics cookies: Help us improve site performance and user experience.
You may manage or delete cookies through your browser settings at any time. Disabling certain cookies may affect website functionality, including the ability to place orders.
We do not use cookies to track you across third-party websites for advertising purposes, and we do not sell cookie-related data.
9. Children’s Privacy
Our services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us and we will take steps to delete it.
